Who we are
Coolways Engineering is a trading division of COOLWAYS-UK LTD, a company registered in England and Wales with company number 14048338, whose registered office is 29 Arboretum Street, Nottingham, NG1 4JA. COOLWAYS-UK LTD is the controller of the personal data described in this policy. In this policy, "we", "us" and "our" mean COOLWAYS-UK LTD trading as Coolways Engineering.

What we collect
When you send an enquiry through this website, by email or by telephone, we collect the details you give us. Through the enquiry form that is:
- your contact name
- your telephone number
- the name of your business
- the location of your site
- the level of urgency you select
If you go on to a video consultation, site assessment or repair, we also hold the information needed to deliver that work: what you tell us and show us about the machine during a video call, any photographs or video you send us, site contact details, the estimate, and records of the work carried out and invoiced.
Please do not show or send us information about other people that is not needed to assess the machine.
How we use it and our lawful basis

We do not use your details for marketing unless you have asked us to, and we do not sell your personal data.
Who we share it with
We share your details only where needed to deliver the service: with the engineer carrying out the work, with other companies in the Coolways group where they support the service, and with providers who host our website and email. We will disclose information where the law requires us to.
Transfers outside the UK
The Coolways group includes Coolways B.V. in the Netherlands, and some of your data may be held or processed there. The United Kingdom recognises the countries of the European Economic Area as providing adequate protection for personal data, so these transfers rely on that adequacy decision.
How long we keep it
Enquiries that do not lead to any work are kept only as long as needed to deal with them. Where we carry out work, we keep the related records for as long as we need them to meet our legal and accounting obligations, which for financial records is normally six years after the end of the financial year they relate to.
Cookies and tracking
This website does not set cookies and does not use analytics or advertising trackers. The explainer video is hosted on this website and only loads when you press play. Our website host keeps standard server logs, such as IP addresses and the pages requested, to keep the site secure and working.
The enquiry form
When you press send, the form passes your details to your own email app so that you can send them to us at info@coolwaysengineering.co.uk. Nothing is sent until you send that email.
Your rights
You have the right to ask for a copy of your personal data, to ask us to correct it, to ask us to delete it, to object to or ask us to restrict how we use it, and to ask for it to be transferred to you or another organisation. To use any of these rights, email cool@coolways.eu. We will reply within one month.
Complaints
If you are unhappy with how we have handled your personal data, please contact us first so that we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
Changes to this policy
We will update this page if we change how we use personal data. The date at the top shows when it was last revised.
